Terms & Conditions & Privacy Policy

 

1. Nature of Services & Informed Consent

Change Room Psychotherapy Services provides psychotherapy to support mental health, emotional well-being, and personal growth. Psychotherapy is a collaborative process, and while many clients experience benefits, specific outcomes cannot be guaranteed.

Services are provided to adults (18+) on an individual basis.

Engaging in services indicates your understanding of and consent to the nature of psychotherapy.

 

2. Therapist Credentials

Services are provided by a Registered Psychotherapist (RP-Q), and are delivered in accordance with applicable professional, ethical, and regulatory standards in Canada.

 

3. Fees & Payment

Fees for services are communicated in advance and are due at the time of booking or as otherwise agreed. Receipts will be issued following payment.

 

Clients are responsible for full payment of services regardless of insurance reimbursement.

 

4. Cancellation & No-Show Policy

Cancellations or rescheduling requests must be made at least 24 hours in advance of the scheduled session.

Appointments cancelled or missed with less than 24 hours’ notice will be charged the full session fee and are non-refundable.

Exceptions may be made at the sole discretion of the therapist in cases of emergency.

Please note that insurance providers typically do not reimburse for missed or late-cancelled sessions.

 

5. Insurance & Reimbursement

Receipts may be submitted to extended health benefit providers for reimbursement, where applicable. Coverage varies depending on your individual plan.

Change Room Psychotherapy Services does not guarantee reimbursement and is not responsible for claims that are denied or partially reimbursed. Clients are encouraged to verify coverage directly with their insurance provider.

 

6. Confidentiality

All information shared during therapy sessions is kept confidential, except where disclosure is required or permitted by law or professional standards, including:

  • Risk of harm to yourself or others

  • Suspected abuse or neglect of a child or vulnerable person

  • Legal requirements such as a court order or subpoena

  • Regulatory requirements (e.g., audits by a governing body)

     

7. Collection, Use, and Storage of Information

Personal and health information is collected only as necessary to provide psychotherapy services. Information is securely stored and protected in accordance with applicable privacy legislation in Canada (including PHIPA, where applicable).

Reasonable safeguards are used to protect personal information from loss, unauthorized access, or misuse.

 

8. Electronic Communication & Virtual Services

If you choose to engage in virtual therapy or communicate electronically (e.g., email, messaging):

  • There are inherent risks to confidentiality

  • Secure platforms are used where possible; however, absolute security cannot be guaranteed

  • By using these methods, you consent to these risks

     

9. Scope of Practice

Psychotherapy services do not include medical advice, emergency services, or assessments for legal purposes unless explicitly agreed upon.

If you are experiencing an emergency or are in crisis, please call 911 or contact your local crisis service.

 

10. Client Responsibilities

Clients are responsible for:

  • Attending sessions on time

  • Participating actively in the therapeutic process

  • Communicating relevant concerns, needs, or changes

     

11. Between-Session Communication

Communication outside of scheduled sessions is limited. Responses to non-urgent messages may not be immediate and are not intended for crisis support.

 

12. Record Keeping & Access

Clinical records are maintained in accordance with professional and legal standards. Clients may request access to their records, subject to legal and ethical limitations. Administrative fees may apply for reports, summaries, or record requests.

 

13. Termination of Services

Clients may discontinue therapy at any time.

The therapist may also suspend or terminate services if:

  • The service is no longer clinically appropriate

  • There are repeated missed appointments or non-payment

  • Professional boundaries are not maintained

Where appropriate, referrals to alternative services may be provided.

 

14. Limitation of Liability

While services are provided with professional care and in accordance with ethical standards, Change Room Psychotherapy Services is not liable for outcomes related to participation in psychotherapy.

 

15. Website Use & Privacy

This website may collect limited personal information through contact forms, booking tools, or analytics.

Information collected may include:

  • Name and contact details

  • Information voluntarily submitted through forms

  • Basic website usage data (e.g., cookies, analytics)

     

This information is used solely for communication, service delivery, and improving user experience. Information is not sold or shared with third parties except as required for service provision (e.g., secure booking platforms) or by law.

 

16. No Therapeutic Relationship via Website

Submitting a contact form, email, or booking request does not establish a therapist-client relationship.

A therapeutic relationship is only established after an initial consultation and mutual agreement to proceed with services.
